Office administrators and assistants

An AI assistant for office administrators and assistants

An administrator's desk sees a steady stream of formal letters, paperwork, meetings and spreadsheets. OPTES drafts letters in your organisation's style, turns incoming paper into a searchable archive, writes meeting minutes and moves data between systems after you approve. You review, sign and decide; it saves you the time.

What OPTES does for you

Formal letters and memos

It drafts formal letters and internal memos from a couple of lines you write, using your organisation's letterhead conventions and phrasing. You review them before signing and sending.

An example of what you type

Write a formal letter to the electricity department asking to move the power line to our company's new building, short and formal.

AvailableWriting, editing and translation

Archiving incoming mail

It reads photos of paper letters, handwritten ones included, and extracts the reference number, date, sender and subject into a searchable archive table. You check the results.

An example of what you type

Here are photos of 60 incoming letters. For each one, extract its number, date, sending office and subject into one table.

AvailableReading images and documents

Meeting minutes

It turns a meeting recording, made with everyone's consent, into formal minutes with attendees, decisions and assignments, in standard Arabic even when the discussion was in dialect.

An example of what you type

Transcribe the board meeting and turn it into formal minutes. The discussion was in dialect but I need the minutes in standard Arabic.

AvailableSpeech to text

Data entry between systems

After you approve, OPTES moves data from a spreadsheet into your organisation's system by clicking, typing and switching windows. You watch it and can stop it at any time.

An example of what you type

Enter the course participants from this sheet into the registration form in our system, and ask for my approval before each save.

AvailableComputer control after you approve

Cleaning contact lists

It writes a small script that standardises names and phone numbers and merges duplicates, giving you a new copy while leaving the original file untouched.

An example of what you type

Clean up this contact list: standardise the phone number format, merge duplicate names, and keep the original file unchanged.

FAQ

Questions and answers

How does OPTES help office administrators?

OPTES takes on repetitive office work: drafting formal letters, archiving paperwork, writing meeting minutes, entering data after you approve and cleaning spreadsheets. You review, sign and decide.

Can it follow our official letter format?

Give it a sample of your previous letters and it follows the same letterhead, phrasing and layout. It writes in standard Arabic or English as needed, and reviewing and signing stay with you.

Is computer control safe?

It only starts after you approve, you watch it click and type in front of you, and you can stop it at any moment. A command guard checks every command before it runs and blocks destructive ones, and everything is logged.

Can it read Arabic handwriting?

Yes. It reads images and documents, including Arabic handwriting. The clearer the image, the more accurate the result, so check numbers and names before relying on the table.
